Data sources sync knowledge into Realm’s search engine so users can find and use it across search, chat, agents, and RFPs. Navigate to Settings > Data sources to connect and manage your sources.

Permissions

Realm’s search is permission-aware. For sources like Slack, Google Drive, and SharePoint, Realm syncs the full permission structure, including nested groups and role-based access. Users can only see search results and chat responses based on data they should have access to in the original system. Due to API limitations, some data sources, such as HubSpot and Notion, use user-level access checks (i.e. the user has a matching account) rather than document-level permissions. You can also override permissions per data source and make all synced data visible to everyone in your organization. This is configured on each data source’s settings page. Sync frequency

Realm periodically refreshes each data source to keep results up to date. Sync frequency varies by source:

The initial sync for a new data source can take anywhere from a few hours to several days depending on data volume. Once the initial sync completes, subsequent syncs are incremental and much faster. If you’re connecting multiple sources, start all syncs at the same time.

User-uploaded files

Users can upload their own files from the Knowledge page. Uploaded files can be private or shared with the organization. Shared files appear in the “Shared files” folder under Knowledge and are searchable by all users.

Sync issues

If a data source has been disconnected, the connector page will show a warning and prompt you to reconnect. If a sync has failed for other reasons and hasn’t completed for multiple days, reach out to Realm. We’re happy to help. Sync issues like this can often require action on our end.
