Overview

When your organization has connected Salesforce or HubSpot, Realm can link each project to the opportunity or deal it belongs to. The link works in both directions:
  • CRM to Realm: the opportunity and its account (in HubSpot, the deal and its company) become customer context for the project. Realm uses it in the project summary, the Go/No-Go analysis, and when answering RFP questions.
  • Realm to CRM: Realm can write a link to the project into a field on the record, and project members can create a new opportunity or deal without leaving Realm.
Salesforce opportunities and HubSpot deals work the same way throughout. Where the wording differs, this page says “opportunity” for Salesforce and “deal” for HubSpot.

Linking a project

Project members link a record from the project header chip or from the project’s Settings tab.
  1. Open the project and select Link opportunity.
  2. Pick from the suggestions, or search by name. Suggestions are ranked by how well the record and its account match the project’s title, description, and deadline.
  3. Confirm the selection.
The linked record shows its stage, amount, account, and a direct link to the record in your CRM. Removing or changing the link is available from the same place. Only records synced by your organization’s CRM data connection appear in the picker, and each user only sees records their own access allows.

Customer context in AI output

Once a project is linked, Realm includes the record and its account information as background when it:
  • writes the project summary,
  • generates the Go/No-Go analysis,
  • answers RFP questions.
The CRM content is treated as background, not as a source. Answers never cite it, and factual claims still require a cited source from the knowledge base. If a Go/No-Go analysis already exists when the link changes, Realm marks the memo as outdated so you can regenerate it. Admins can configure Realm to write a link to the project into a field on the record:
  1. Go to Admin, Connect, open your CRM (Salesforce or HubSpot), and open the write-back settings.
  2. Connect an organization-wide tool connection for that CRM if one is not connected yet. This is the credential the automatic link write uses, so it keeps working no matter who linked the project.
  3. Pick the field that should receive the project link. For Salesforce this is an Opportunity field, and for HubSpot a deal property. The list shows writable text and URL fields from your CRM schema.
After that, linking a project writes the project’s URL into the chosen field automatically. If a write fails permanently (for example, the field was deleted), the person who linked the project gets a notification and can retry from the project. Write-back is configured for one CRM at a time. Saving settings for a second CRM replaces the previous configuration.

Creating a record from Realm

If the opportunity or deal does not exist yet, project members can create it from the same picker:
  1. Enable Allow creating opportunities in Salesforce from Realm (or the equivalent HubSpot setting) in the write-back settings.
  2. In the project’s picker, select Create in Salesforce or Create in HubSpot.
  3. Fill in the name, stage, close date, and optionally the account or company. Realm fills in the name and close date from the project.
In HubSpot, the stage list covers every deal pipeline, so pick the stage belonging to the pipeline you want the deal in. A chosen company is attached to the new deal as its primary company. Realm creates the record, links the project to it, and writes the project link back to the configured field. Creation uses your own CRM connection when you have one (connect it under Agents, Tools), so the record is created as you and your own permissions apply. Without a personal connection, Realm falls back to the organization-wide connection. Your connection has to point at the same CRM account that your organization syncs, otherwise Realm refuses the creation rather than writing the record into a different account.
